Hi Hospital Leaders!
I hope your week is off to a great start! I wanted to share with you some important updates from a P&C/Ops perspective!
1. Starting no later than 4/1/2025 all Groomers will need to start clocking in and out, even if they are commission only.
a. Why? This will allow us to audit hours worked versus total compensation to ensure that all Groomers are making at least minimum wage and that we comply with FLSA considerations.
2. Starting no later than 4/1/2025, DVM hours in Team Time must be coded to Veterinarians for time spent directly providing medical care and Veterinarian Admin for time scheduled for tasks such as reviewing & updating records, staff meetings, admin work, etc.
a. Why? This change helps us better track DVM time, balance workload, and improve scheduling for better patient care.
3. We will begin sending hospital leadership reports twice a year on Team Members close to crossing the threshold or misclassified as FT or PT for benefit purposes (working 30 hours a week). We ask that you please make sure that you understand the impact on your productivity score/labor costs and pay special attention to ensuring Team Members are not inadvertently crossing the FT/PT hours threshold.
a. Why? We recently completed an internal audit that identified Team Members who are either misclassified or at an inflection point. If you have Team Members impacted, you will receive this information this week.
- We will provide a grace period for Team Members classified as FT, working more than 28 hours but less than 30/week, to raise their average hours to 30. This ACA Measurement period ends 5/31. We will evaluate benefit eligibility for these Team Members starting on 6/1.
- On 4/1, we will reclassify Team Members with their average working hours above 30 hours and below 28 hours/week in Paycor, triggering benefit life events effective 4/1 for those who newly qualify, or a coverage end date of 4/31 for those no longer considered FT/benefits eligible.
- Reminder: This reporting is based on WORKED hours. Scheduled hours do not impact the classification determination.
